Upon obtaining a new account, a 30-day no-cost trial period is provided. Read the Terms of the Trial Period here. During that period a Clinical Studio account executive, or representative of Crucial Data Solutions, will make contact to discuss the best license option for continued use beyond the trial period. Either a development license or an active study license will be required to keep the account active. Without licensing, the account will be deleted 60 days after trial expiration.
Licensing agreement will be electronically sent to and signed by the customer prior to payment being set up. The payment period and terms are specified in the agreement and may be negotiated prior to executing.
Below are detailed terms of the license types available.
- Free 30-day Trial
- Active Study
- Medical Coding
1. Free 30-day Trial
Users will have 30 calendar days, beginning on the date of new account creation, to evaluate the software and utilize Clinical Studio’s training resources at no extra cost. Registration of a new account creates a unique Website Host (account) in Clinical Studio. The person registering is given full permissions and ownership of the newly created account. The account owner can be identified or changed via the Account Manager page after logging in.
For uninterrupted use after the trial period, a License Agreement must be signed prior to completion of the trial period. The License Agreement will be provided by an account executive during the trial period, which states the customer’s preferred billing cycle and agreed License cost.
Academic verification will be noted in the license agreement signed by the account owner prior to the license being enabled. Training and support on academic licenses is limited to 2 hours of initial training, and basic technical support. Discounted plans are available for academic use requiring extra support or extended system functions.
A development license is available for organizations needing continued use of the software for learning or development. Accounts with this license contain no active studies or studies being developed.
3. Active Study
An active study is defined by any study database in active testing (UAT) or production environment with a status set to Live, Suspended, or Locked. The study status is controlled by the account or study manager. Active study licenses apply for the entire period of data collection, data review, and data cleansing. Active study licenses are stopped when the study status is set to Completed and the study database is archived. This prevents any changes to the study and its data, and ensures only the Administrative users maintain access.
The cost associated with the Active Study license is published as per study per month. Discounts may apply for multi-study accounts or annual contracts.
4. Medical Coding
Medical auto-coding is accomplished through the csCoder platform. This can be separately purchased along with an active study license and covers the whole life of the study.
csCoder is also available as a standalone coding tool when Clinical Studio is not being used for data capture. For more information, please contact us.
